Enterprise-wide Email Branding
and Disclaimers for Lotus Notes
The problem ...
Your business has a corporate image and you want to keep your employee's email signature in line with this image and to use the correct company logo. You may also want to add a legal disclaimer or disclosure to avoid your employees making statements that could result in legal liability.
The solution ...
"Crossware Mail Signature for Lotus Notes". Crossware Mail Signature is a server based application that adds good-looking email signatures to all outgoing emails. These signatures may include legal disclaimers if required and logos, graphics, advertising banners and special promotion announcements.
The signatures can contain personal information such as:
Name (first name, last name, title)
Position (job title)
Division (business unit)
Address (physical and postal)
Phone Numbers (office number, mobile number, direct dial and fax)
Email Address
This data can be pulled from the Domino Address Book or any other Lotus Notes Database containing this information (eg. a corporate HR database, intranet staff list).
Different signatures and legal disclaimers can be used for particular users or groups.
Crossware Mail Signature doesn't require design changes to either your Domino address book or any modifications to your Lotus Notes email template.
Crossware Mail Signature eliminates local storage of signatures and logos.
Signatures are not stored in your sent folder - they are appended as the emails are sent, saving space in your mail files.
It works with Lotus Notes mail, Domino Web Access / iNotes, Blackberry, POP3, and Domino Webmail. It also works with any bespoke notes or domino applications that you have that send email messages (eg. Workflow systems).
No additional hardware is required - Crossware Mail Signature simply runs as an additional task on your Domino server.
